Billing and Subscriptions
This page explains how Simple Leave billing works, including your billing cycle, how average users are calculated, payment types, invoices, and cancellations.
Managing Subscriptions
You can manage subscriptions from the Account page. From this page you can:
- Create a new subscription
- View your current subscription including downloading invoices, editing payment details or cancelling your subscription.
Monthly billing cycle
- Billing happens on a monthly cycle.
- When you create a subscription, you will not be charged until the end of the current billing cycle.
- Charges are calculated for the current month and collected at the end of the cycle.
- If you create a subscription at the end of the month and that date does not exist in the following month, the billing cycle will default to the last day of the next month. For example, creating a subscription on May 31st will result in the end of the cycle being June 30th.
How average users are calculated
Simple Leave bills for the average number of daily users you have added to the platform:
- A user will count as active until you either a) delete them, or b) set a Leave Data on their profile that is in the past.
- The number of daily active users is audited once per day in the billing cycle.
- The daily counts are averaged across the month.
- The monthly average will be rounded up. For example, 17.1 becomes 18.
Payment processing and supported payment types
Payments are processed by our third-party provider, Stripe. By purchasing a subscription, you acknowledge that payment transactions are handled by Stripe under their terms and privacy policies. Simple Leave does not store full payment card details and uses Stripe to securely process payments on our behalf.
Supported payment types:
- Card payments only: Visa, Mastercard, American Express.
Invoices and receipts
Invoices and receipts are available electronically through your Stripe customer portal.
- You can view, download, and manage invoices via the account page.
- All administrators on the Simple Leave account can access the Stripe customer portal for your organization.
Canceling your subscription
You can cancel at any point during a monthly cycle. Cancellations take effect at the end of the current billing period. You will continue to have access to the service until that time.
No refunds are provided for partially used billing periods unless required by law.
Failed payments and overdue fees
If a payment fails, Stripe may retry the payment in accordance with its standard retry logic. If payment cannot be collected, we reserve the right to suspend or restrict access to the service until payment is successfully made.
We also reserve the right to suspend or terminate access if fees remain unpaid after reasonable attempts to collect payment.
Fee changes and taxes
We may change subscription fees from time to time. Any changes take effect at the start of your next billing period, and we will provide 3 months notice of any material changes.
All fees are exclusive of VAT or other applicable taxes unless stated otherwise. Where required by law, VAT will be added to invoices at the applicable rate.
